Presence-Based® Coaching Student Enrollment Agreement (Terms and Conditions)

General Statement

Presence-Based Coaching, LLC is dedicated to upholding the highest standards of excellence for its programs and materials.  Consistent with these standards, we ask you, as program participants, to abide by these terms and conditions (“PBC Terms of Participation”).  These PBC Terms of Participation apply to all PBC programs, courses, retreats, seminars, events or other activities in which you may participate, including online or virtual courses and activities (“PBC Programs”).

By following the policies that we make explicit here, we request that you honor the many years of cultivation and excellence of this body of work, your investment in your own development as a coach or leader through this work, and your ability to be of service in alignment with this work.

DEIJ Statement

The ICF Global Board of Directors approved the ICF Statement of Diversity, Inclusion, Belonging and Justice in July 2020. Staff and volunteer leaders from ICF’s six family organizations subsequently cosigned the statement. This statement of principles reflects a position we invite every ICF Member, Credential-holder and accredited provider to subscribe to.

ICF Members and Credential-holders live and work in more than 140 countries and territories. ICF is a vibrant global community committed to the shared vision of making coaching an integral part of a thriving society. Our mission is to lead the global advancement of coaching. To do this, we must reflect on our blind spots and be aware of opportunities for improvement. We cannot ignore the challenges that many coaches and coaching clients face due to systemic problems in their communities.

As members of the ICF community, we ascribe to the core values of integrity, excellence, collaboration, and respect. The foundation of these values is a shared commitment to diversity, inclusion, belonging and justice.

We will place diversity, inclusion, belonging and justice at the forefront of every decision we make within our Association. As we continue the journey toward our vision, we will recommit ourselves to valuing the unique talents, insights, and experiences that every coach and client brings to the world.

Non-Discrimination Policy

It is the policy of Presence-Based Coaching LLC that:

Recruitment and hiring of all personnel are conducted without discrimination against any individual with regard to race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status.

All staff and personnel will not discriminate against any employee or participant because of race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status.

All individuals are welcome to participate regardless of race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status.

All employees, students, and other participants should be able to enjoy an environment free of discrimination and harassment. This includes, but is not limited to, discrimination or harassment in the areas of race, age, religion, color, creed, national origin, gender, sexual orientation, gender identity, marital status, disability, or veteran status. Our organization does not and will not tolerate conduct by any employee, student, volunteer, contractor, visitor, or vendor which unreasonably interferes with an individual’s ability to learn in a welcoming environment.

Participants who wish to report discrimination are encouraged to follow the grievance policy outlined in the Grievance Policy. Presence-Based Coaching LLC will promptly investigate all claims and reports of inappropriate conduct.

Photography, Video, and Audio Recording

Occasionally, we record coaching or teaching sessions in various media for instructional or marketing purposes. Your registration for, and participation in, PBC Programs includes your explicit permission to use any such recordings for such purposes without further notice, unless you advise us in writing otherwise.

Intellectual Property

In consideration of all those associated with this work we make these policies explicit. We are actively examining ways that we can share more and more materials in the spirit of generosity; at the same time, we are also committed to upholding the integrity, quality and reputation of PBC and PBC Programs.

Please note that Presence-Based®, Presence-Based Coaching®, and related Presence-Based names and logos are proprietary trademarks of Presence-Based Coaching, LLC and are protected by applicable state, federal and international trademark laws and registrations. Similarly, materials that Presence-Based Coaching, LLC uses or furnishes in connection with PBC Programs are either owned by us and protected under copyright or used by us under license. Attendance at PBC Programs does not, in and of itself, confer any rights to use PBC trademarks or copyrighted materials.

We are committed to facilitating the incorporation and use of Presence-Based methods, techniques and resources. Towards this end, we regularly confer permission to reproduce and distribute certain materials, including for commercial use, through the granting of direct permissions requests and through third-party permissive licensing regimes such as the Creative Commons. You are encouraged to avail yourself of these materials; please contact us should you have any questions regarding licensing and permissions. For Certified Presence-Based® Coaches, a limited license may be conferred pursuant to special additional certification terms and conditions.

Please also note that you may NOT under any circumstances:

  • use the “Presence-Based” trademark or variations thereof (e.g., “Presence-Based Coaching”, “Presence-Based Leadership,” “Presence-Based Life Coaching,” etc.) in any description of a product or service, or in any way that creates confusion with our trademarks and their usage.
  • apply for, register, or attempt to register the “Presence-Based” trademark or variations thereof.
  • use the “Presence-Based” trademark or variations thereof for purposes of search engine optimization or for creating sponsored Links or search results.
  • use the “Presence-Based” trademark or variations thereof in any way that implies affiliation, sponsorship, certification, or endorsement of either you or your services.
  • offer to train others in Presence-Based Coaching methodology as a workshop or training to individuals or groups as a coach or leadership training.  We have highly skilled faculty who deliver this training after several years of apprenticing with us.  Please contact us if you are interested in this faculty path for yourself.

Feedback

By sharing any ideas, comments, suggestions, questions or other material with us, you grant us permission to use, reproduce, display, perform, modify, transmit and distribute such material in any manner, including in connection with PBC Programs and activities, and you also agree that we are free to use any ideas, concepts, know-how or techniques that you provide us for any purpose.

Designations Upon Completion of PBC Programs

  • Following completion of one or more PBC Programs, you may state generally that you have been “trained in Presence-Based® Coaching methodology.”
  • Following successful completion of the PBC I, PBC II and Mentor Coaching courses, and demonstrating the PBC and ICF coaching competencies through a coaching performance (Level 1), you may state that you are a “Core Practitioner of Presence-Based® Coaching.”  With additional requirements fulfilled through ICF, you may apply for and be granted an ICF Associate Certified Coach (ACC).
  • Following successful completion of the requirements for our Living in Presence Coaching Course (Level 2) you may state that you are a “Certified Presence-Based® Coach: Advanced Practitioner.” With additional requirements fulfilled through ICF, you may apply for and be granted a designation as an ICF Professional Certified Coach (PCC).

Coach Certification

We certify coaches in our own methodology; please see details elsewhere for how to become certified by us. Please note that certification as a Presence-Based® Coach is earned only in our 6-month advanced certification course, Living in Presence Coaching Course (LIPCC), and is provided upon completion of all required coursework and a successful live coaching exam; enrollment in a course and payment of fees does not guarantee certification.

The International Coaching Federation (ICF) has audited and approved our training program as a Level 1 and Level 2 Coach Training Program (formerly known as an Accredited Coach Specific Training Program (ACSTH) and Accredited Coach Training Program (ACTP)). We can provide documentation, and support you in your application process, per the conditions on the ICF website. We cannot (nor can anyone else outside of ICF) provide ICF credentials directly.

Coaching and Therapy

This program is specifically designed and offered as coach-specific training. While personal and professional development is an integrated part of both coaching and coach training, this program is not a substitute for psychological treatment, medical care, or emergency intervention. This program should not be considered as a form of therapy, diagnosis and/or treatment. If you require psychological or medical care, you should seek the direct care of a licensed psychologist or medical professional. If you have questions about the appropriateness of this program for your goals, it is your responsibility to seek guidance from these professionals, and/or to talk to a Presence-Based Coaching faculty member to assess the fit of this program for you.

Cancellations and Refunds

If you must cancel your participation in any retreat or course, all fees paid minus a cancellation fee will be refunded, as long as the below conditions are met. If those conditions are not met, no refunds will be provided.

Cancellation fees are as follows:

  • $500 for the entire PBC course, if cancellation is received seven or more days before the first day of the first retreat (PBC I).
  • If transferring to a later date for the same course, there is a $250 transfer fee and the full amount of your paid registration will be credited towards the then-current pricing for the new retreat dates.  Once transferred, credit must be used within a year or your registration will be cancelled, and a refund provided minus the cancellation fee above.
  • $500 LIPCC course deposit is non-refundable. Once registered, if you must withdraw from LIPCC before the course start, all moneys paid will be refunded, minus the $500 non-refundable deposit and an additional $500 that can be applied to the following year’s LIPCC course. If not used for the following year’s LIPCC, this additional $500 will be treated as a cancellation penalty and forfeited. If you must withdraw from the course after it has begun, no money will be refunded, but we will work with you to do what seems reasonable to support your continuing your studies with us.
  • $250 for Alumni and Special Retreats, provided that your spot can be filled from a waitlist, and your cancellation request is received at least seven days before your retreat start date. If your spot cannot be filled from a waitlist, no refund will be provided.
  • Virtual Courses: $50 cancellation fee, up to the day before course start.

Transfer of Credit Policy from Other Organizations

At this time, we are not able to accept partial course credit from other organizations or programs. Even if you have completed a Level 1 program, you must enroll for the entirety of a Level 2 program. Individuals with questions about this process should contact Jenny Sheehan, Registrar at jenny@presencebasedcoaching.com.

Grievance Policy

Presence-Based Coaching LLC seeks to ensure equitable treatment of every person and to attempt to solve any grievances in a timely and fair manner. Participants have the right to file a grievance regarding presentation or content, facility concerns, or instructor/faculty behavior. All grievances will be addressed to the best of our ability to prevent further problems. A process for filing grievances can be found below:

  • A participant should first attempt to resolve the issue directly with the educator/trainer, staff, or participant with whom they have an issue. If participants are not comfortable approaching the individual, they can proceed to step 2.
  • If participants are not comfortable approaching the individual with whom they have a grievance, or are unable to resolve the issue directly, participants should submit a written grievance to the program manager within 14 days. The program manager will review the issue and talk to the student within 14 days of receiving the complaint. The program manager will work with all parties involved to resolve the issue.
  • If a participant does not feel the issue is resolved, a written request for an appeal should be sent to Jenny Sheehan, Registrar for review. This appeal should include the original complaint and reason(s) the participant is unsatisfied with the resolution attempt(s). Appeals are reviewed and a written response will be provided to the participant within 30 days. All appeal decisions are final.

General Disability Policy

Presence-Based Coaching LLC supports individuals with disabilities and is committed to providing disabled individuals access reasonable accommodations. In addition, Presence-Based Coaching LLC prohibits discrimination on the basis of disability and ensures equal opportunity for all qualified individuals with disabilities. Presence-Based Coaching LLC is committed to providing reasonable accommodations in compliance with all local, state/territory, and federal laws. Our goal is to create a learning environment which meets the needs of each individual student. We are able to accommodate a variety of learning disabilities to make our program more accessible.

Participation Policy

You have made an investment in yourself by registering for our PBC or other Presence-Based training program. Success in our program requires full commitment by all participants. By enrolling in this course, participants agree to being fully present during all sessions and participate to the best of their ability. This includes arriving on time, abiding by the code of conduct, and engaging in course activities.

Attendance

In order to provide you with the minimum required training hours for certification, it is important that you are present for the entire course, including all follow up class zoom meetings.

If you have an emergency or become ill and are not able to attend the course or part of the course, please contact your instructor and Presence-Based Coaching Registrar immediately. You will be expected to complete and turn in any session work or materials, review the session recordings (if available), and complete any missed coaching practice sessions outside the live class to make up for the missed time.

If you need to miss more than a half-day or 4 hours of the course, you will have the option to work with the instructor to cover the missed material at your own expense or register for another course. If you miss any of the mentor coaching classes, you can either arrange to attend another cohort class (if available) or you will need to arrange and pay for individual mentor coaching sessions to complete the required 10 hours of mentor coaching to satisfy the International Coaching Federation requirements.

Petitions to this policy are considered on a case-by-case basis and must be submitted in writing to the instructor and Presence-Based Coaching LLC.

Course Engagement

Our courses are designed to be interactive and engaging for our participants. It is therefore an expectation that you participate in course activities, including dialogue with the course instructor and peers, practice coaching activities, and experiential learning exercises. If you are unable to participate in any activity, please inform your instructor as soon as possible. Please refer to the code of conduct for additional details.

Code of Conduct

Participants are expected to conduct themselves in a professional manner during all sessions. This includes, but is not limited to:

  • Arriving on time to all sessions.
  • Attending all live sessions and mentor coaching sessions.
  • Having your camera on for virtual live sessions.
  • Participating fully in all sessions and mentor coaching sessions. This includes being prepared for the session, involving yourself in discussions and activities, assuming responsibility for your learning, and contributing to the learning of others.
  • Engaging in discussions with integrity and honesty.
  • Being respectful of your fellow participants and instructors, including silencing your cell phone, not texting, and other disruptive behaviors.
  • Embracing diversity and inclusion while respecting the dignity and humanity of others.

Illness Policy

Petitions to this policy are considered on a case-by-case basis and must be submitted in writing to the instructor and (organization).

Partial Completion Policy

At this time, we are not able to offer credit for partial completion of a course. You must complete the entire course to receive credit. Individuals with questions about this policy are encouraged to contact Jenny Sheehan, Registrar at jenny@presencebasedcoaching.com.

Changes

We may change the terms of these PBC Student Enrollment Agreement and Terms and Conditions of from time to time on a going-forward basis. A current version these PBC Student Enrollment Agreement and Terms and Conditions is posted on the PBC website.  It is your sole responsibility to check the PBC website from time to time to view any such changes to these PBC Student Enrollment Agreement and Terms and Conditions.
